January 2022 Board Meeting Minutes

    1. We start the year with 156 members
    2. Introduce officers
      1. President – Repo

    3. Elect Chairperson – Repo.  All approve
    4. Go over officer duties: Section 7 in Bylaws
      1. President – make sure everything gets done, delegate, communicate with Brian about waterlog
      2. VP Bus – minutes & Publish
      3. Finance – Banking, Budget, membership db, taxes
      4. River Ops – organizes river trips, delegates, reserves camp grounds, coordinates prizes, and schedule portapotty delivery
  5. Select Committee Chairs and go over duties: section 7 in Bylaws
    1. River Watch: keeps eye on river issues and projects, works to get people to help out with projects:  Repo & Brenan
    2. Safety and Education: organizes one day safety classes & events – Paul & Tamie
    3. Communications: works with waterlog editor and web editor, need good grasp of technology: Brenan & ?

  6. Old Business
    1. January membership meeting: Currently scheduled for 1/20 at Claim Jumper.  decided to postpone.  Nancy will cancel reservation at Claim Jumper.  Reschedule to Feb 24th @ Claim Jumper
      1. Introduce new board to general membership
      2. Permit info – put something in WaterLog for permits.  Bill Smith’s website has links to all sites for permits.  May want to get reminder out earlier than waterlog.  Send FB post and all membership email.  Repo to write quick blurb and send to David and Brenan for distribution
    2. Audit committee report – Audit committee met.  Repo did well according to Brenan.  Repo & Brenan to get together to hand off spreadsheet.  have money in bank and 6 people have renewed membership.
      1. Karie to get key to post office.  check for Rosie’s checks.  Get added to bank account to upload checks
  7. Events for the year:
    1. New Years Day float (2022-01-15):  currently a go
    2. Tilton Trek (2022-02-19): nothing needed
    3. Nisqually clean-up (2022-04-02): Repo has worked with Greg and confirmed it is that Saturday.  Repo will check on camping
    4. Flip Practice (2022-04-24): Programs & Volunteers coordinates
    5. Green River Cleanup (2022-04-30): Camp reserved, Rangers currently do not know if they will need help prior.  Need to confirm with Rangers during event for 2023, Group site and sites 1-10.  Event run by Green River Cleanup committee
    6. Wenatchee Rendezvous (2022-06-04): Need to reserve toilets
    7. White Salmon Retreat (2022-07-09): Camping has been reserved.
    8. Poker Run (2022-08-06): Camping has been reserved
    9. Tieton Rally (2022-09-10): Toilets need to be reserved
    10. Rogue or Lower Salmon (2022-09-18)
    11. Sauktoberfest (2022-10-22)

    1. Hollenbeck Park reservation: Brenan to send confirmation to board
    2. Need people to touch base with KP – Brenan – KP is good to go.  Need to update this task to KP from Shangri-La

    4. Tamie ran Skagit on Sunday Jan 9 and only saw a handful.

    1. Diversity, Equity, and Inclusion – Brenan: 1 pending scholarship that previously had not filled out application.  They corrected but now out of funding.  Will re-apply for 2022. Next step: seeking funding.  idea in the works
    2. River Watch – Rebecca Post: Nothing new
    3. Safety and Education – Rebecca Post: Nothing new
    4. Communications – Brenan Filippini: Calendar updated as people send in corrections.  Action:  All – look at calendar and report any errors
    5. Membership – Tamie Stonke: Nothing new

    7. Mail pickup/Meeting reservations – Joe Koncikowski: Action: Joe will call to see if there is any mail.  Next year, Karie will pick up mail

    1. Sauktoberfest roundup (10/23/2021) – Brenan: 13 people, 9 boats.  A lot of new faces and Kimmy was also there. Action: Brenan to contact Paella Mark to possibly assist with website
    2. Gear Swap – Karie: Approx 15 people, More of a repair clinic.  Thanks Joe for providing heat gun.  WRRR provided pizza.
    3. Misc River Ops – Joe: Reservations made for Green Cleanup April 29 – May 1 2022.  Sites 1-11 and group camp.  River ops on vacation for December.

October 2021 Board Meeting Minutes

  4. 155 members (153 members last month, highest ever 167 in March 2020)
  5. Standing Committee Reports
    1. Diversity, Equity, and Inclusion.  Scholarships have been approved and Paid.  Nothing pending.  Nancy reached out to the Sept event on lake sammaish folks if they needed help.  They didn’t respond.
    2. River Watch – Rebecca Post.
      1. Cispus:  Repo/Brenan attended Lewis county PUD.  Work plan is looking good.  Widening road, providing trailer parking, picnic shelter and other cleanup.   Work starts summer 2022 and finishes fall 2022.  They are doing some gravel work fall 2021.  PUD is developing a debris plan for large logs at the takeout.  WDFW will approve plan. Currently 60% plan set.  Comment periods end Oct 15th.   90% plan set comes out early spring.
      2. Nooksack.  New raft takeout is still in progress.   Engineered log jams present naviagtion hazards from maple falls to mosquito lake road.  Class 1/2, usually an eagle float or extension of canyon run.
      3. SF Stilly.  There is some new engineered log jams here on this section.   Use caution if running.
    3. Safety and Education – Rebecca Post.   WET Planet is doing a safety course for us May 21-22.  Repo will create article and fact check website
    4. Communications – Brenan Filippini.   Updating Website dates.  Dates approved unless otherwise noted, or you see errors.  Keep checking as you see things come up, read waterlogs, etc
    5. Membership – Tamie Stonke.  Nothing to report, healing energy to Tamie’s foot!
    6. Programs and Volunteers – Erik Smith.   Nothing to report
    7. Mail pickup/Meeting reservations – Joe Koncikowski.  Picked up 2 renewals and new credit cards.
    8. WRRR Wear – Rebecca Post.  Reported WRRR sales for poker run.
  6. Events
    1. Tieton Rally roundup (9/11/2021).  Toilets made it!!!   Camping was good, and everyone had fun.  Nancy found Richard our new sponsor.
    2. Sauktoberfest status (10/23/2021).  Looks good for now.   If flows are too low or too high, we will do the upper Skagit.  Camping at Marblemount “Cabin”.  Campers must RSVP, there is a gate.
    3. Misc River Ops.  VACATION 2021 is complete for OPS tasks!!!
    4. Poker run income ticket sales: $780.  WRRR wear  $400.  Membership renewals $140.00
  7. Old Business
    1. Ballot should have been submitted by October 1.  Nomination commitee sent ballots Oct 13th.

    1. Appoint Elections Committee (any current member not running for office) – David, BrianV and Homer are willing to do this, ballot sent tonight.

    1. Website discussion.   The WRRR board and club needs to check future direction and monitoring of the website.  David is going to be stepping down from webmaster soon.  We sent out a blurb and article about needing a new helper or someone to take over the IT director role.  So far we still need help.  Some options are to pay for a hosting site like club express.  Washington kayak club has a site through them.  Or we can save some money and find a volunteer.  If we don’t find a volunteer by end the year, we may be forced into moving to a different site.  If anyone is interested please let us know!

      1. Scholarships:  prior to july 1, 2021 =2 paid, 4 approved, 6 no response
      2. Scholarships after july 2, 2021 = 2 applications with not enough information.  1 applicant has emailed, but not filled out the form.  We requested more info from the 2 applicants.   
      3. Repo needs password for wrrr paypal dei. She will reach out to Jes.   The funding for these scholarships is from the silent auction the DEI committee did last year and raised approx $2,000!!!
      4. WRRR is almost out of DEI funding.  If we find a 501c3 partner, we have a lot of funding from non profit groups.  Reached out to several, no response yet.
      5. Committee needs to meet?   Anybody interested in helping let us know.  We could use help monitoring scholarships and emails.  As well as finding new partners
    2. River Watch – Rebecca Post
      1. Cispus River meeting Oct 12.   She will provide this to communications to post to the website.   Road has been closed for fire danger.   Road is now open, and river can be run.  Any action items for now?  Nancy asks if there is anything we can do?.    Repo says best thing to do, is float the river and get river count up.
    3. Safety and Education – Rebecca Post
      1. Safety class was done 2021.   Repo wants to setup 2022 class.   Dates early help.   Look at calendar now or later.  B recommends picking now.   Consensus is May 21st and 22nd.  Tammie is going to help.  Tammie will attend!

    1. White Salmon Retreat status (7/17/2021)
      1. Keep boats out of way and at the top and launch rafts after shuttle!!!  Good call, all agree.
      2. Move meet time to 10am (from 11), and shuttle from lake at 11am (vs noon).   Moved up 1 hour.
      3. Repo will bring the checkbook to pay for camping.
      4. 2022 date suggest July 16, 2022.   Repo will ask Zoe H.  Usually it’s Jan 1.  River Ops will follow up with Zoe.   
    2. Poker Run status (8/14/2021)
      1. Need to secure prizes?  Anyone seeking donations, usually VP business.   Erik Smith working on prizes. 
      2. Stations:  Brenan, Mary, Joe #1, Nancy #2,   #3,  Repo #4.   
      3. Need food WRRR box.  It’s a mystery.  Brenan has 1 banner.

      5. Camping will likely be busy, so plan to share camps.  Camping is Thursday night thru Monday at noon.

    4. Brenan:  Does anyone want to print a directory and mail?   Joe and Nancy are excited to see directory.  Nancy says 12 pages folded in half.   This is bonus points, as the PDF will solve it.  Joe will print 10 copies at the station 1.

Brenan:  How to assist new to rafting club members.  Example non guide that wasn’t able to go thru progression this year.   Adding help to progressions.  After wenatchee seems that they help the newer members quite a bit.  I noticed a lot of newish folks that seemed lost, or did not understand the info.   not as much an issue for guys with training, but the newer to boating members.   thoughts?    Kim and I discussed.  maybe have 1 person (non board) assist membership to reach out and explain things to newer folks in the club.

      1. Wenatchee: Nancy contacted Mike Curtis.  Unsure if Wenatchee River park going to happen.
      2. Nooksack putting in toilets.  new Raft takeout will be 1 or 2 miles below rough take-out we have been using
    3. Safety and Education – Rebecca Post: Paul Rodgers asking for members to write article.  Repo to check if Jessica sent information.  Waiting to schedule next year until we hear back from this year’s class on success of training.
    4. Communications – Brenan Filippini:
      1. Brenan trying to keep things updated.  Alot of information posted on the Green primarily by Brenan and Jay.
      2. Has been working to update the webpage and fix broken links and pages and single-source links instead of posting same thing multiple places.

    1. Pre-clean roundup (4/25/2021): 217 volunteers. Everyone worked very hard and a lot of work was accomplished.  Rebecca would like to reimburse gravel fairy who brought in load of gravel for group camp and donated by WRRR Member.

    2. Green River Cleanup roundup (5/1/2021): 37th annual (correcting previous miscount) Cleanup 700 or 800 volunteers, still tallying
      1. Filled trailer at Flaming Geyser.

      3. Alot of new boaters over the past couple of weeks
      4. Kayakers up and down river, great Nature Nut turn out, KP dumpsters filled by volunteers
      5. Next year will be on April 30, 2022

    3. Wenatchee Rendezvous status (6/5/2021):
      1. Brenan helping with prizes.  Accepting donations, additional help finding, will reimburse, the more variety the better.
      2. Toilets will be dropped off Friday before Memorial Day weekend at Eagle Creek and put-in.  There is already one at put-in and a second will be nice.
      3. Potluck will happen.  Will make as sanitary as possible.  Participants can participate as they feel comfortable.
    4. White Salmon Retreat planning (7/17/2021): Camping reserved for Friday -Saturday (Thur and Sunday you may have to pay on your own). Sometimes she asks for help with paying for extra toilet.
    5. Misc River Ops: Skagit – what day to pick and camping.
      1. Randy: have lower A & B sites for Thur-Fri-Sat 12th-14th.  Will see if it is still available for Sunday

      2. Going to cancel MLT park for flip practice and move to KP.  May just be BBQ.  There is room at group camp beach eddie for flip practice.  Brenan to announce.

      4. We had not planned or advertised providing lunch on Saturday.  Joe will bring gas grill to provide quick heat source for anyone who wants to cook their own. Brenan will post that no lunch will be provided.  May bring some extra hot dogs just in case.
      5. Joe was able to secure a wood chipper donation.  Park Rangers will haul wood chips up to get them out of the way.  The park will let us use their tools but it is pretty sparse. Volunteers can buy wood permit for $25 to take home up to 5 cords of wood.  Joe has been working with Ranger David Paul Rougan.  Brenan to post list of suggested tools to bring.  wheel barrows, ropes, chains, rakes, gloves, boots, safety glasses
      6. People can camp at KP GC. RVs can camp there.  Bunk house will be open.  Bathrooms and showers will be open.

      1. We held our first on-line auction and raised $2000!!! We posted this information in as many spots as we could.  During the auction the website had some glitches.  David got things up and running.  Thanks!
      2. We reached out to as many groups as we could find.   Bella responded.   We have approved the scholarship of Bella Phoenix for a three day beginning kayak course with Wet Planet.  This scholarship money is funded by 100% silent auction proceeds.
      3. We have partnered with Wet Planet to get 25% off on any of their courses for BIPOC scholarships.  This will help us extend donation dollars.
      4. Jessica has developed a great tracking tool for other content on the WRRR website
      5. We are pursuing American Canoe Association Raft Instructor training and hoping to send at least two WRRR members to this training ($500 each).  This is to help with the Progression.  If we have Raft instructors on the Progression we can be covered under the ACA umbrella insurance.  *Note, discussed at the DEI committee, but will be moved to the safety committee*
      6.  We discussing the possibility of having more WRRR members be ACA raft certified which can help with trip dynamics when we have several newbies.  People can still be rafting mentors without the ACA Certification, but they cannot be covered by the ACA insurance.  More to follow in the upcoming safety committee meetings.
      7.  We look forward to working with the new board in January to start making concrete plans in this regard.  
      8.  Triad, NW rafting and Wet planet are all local outfitters that are helping us.   All are assisting us with partial and / or full funding for BIPOC training and trips!  Awesome!!!
       
    2. River Watch – Rebecca Post
      1. Thursday 12-17-2020 Cispus call in meeting 12-2pm.   This is regarding the ongoing improvements to the copper canyon facilities.   Anyone can call in, and we encourage people to call in and help voice support!
    3. Safety and Education – Rebecca Post
      1. April 17th/18th 2020 still on schedule for Covid safe whitewater rescue training.  Nancy asked how many are signed up.  Repo will check on the current numbers.  Wet Planet will come up to the cedar.   Wrrr is paying a partial amount for club members.   Repo / Lance, will get this information and create a new article.    We can add this to the website, once we have an article.

      1. Website had some issues and was shut down a while back.   David is working on layout, colors, getting sponsors back.   The site is updated and current.   Most of the updates are covid related and shutting events down.

Tilton Trek roundup (2/15/2020).   Went amazing!   Nancy had a great time.   So did Brenan and Karie!   Lance and others were bummed they missed.  Nancy reminds the board how beautiful it was!   So many great waterfalls and amazing Moss!   Great rapids.  Similar to green.   We had 1 swimmer at the last rapid and a temporarily pinned boat.  WE all agree it is nice to see Randy on the oars!
    1. Niqually Cleanup status (4/4/2020)  Repo:   BBQ is cancelled.   Cleanup is moving forward as planned.  Camping is secured for Friday and Saturday.   MUST CONTACT REPO for camp code and lots of rules.  Repo is doing a scout run friday to check for the cars.

Green River Cleanup status (5/2/2020)   Joe/Brenan:    Joe mentions we need a lot of volunteers.   WE have 2 volunteers (Joe and Brenan).   Bryan Holmes will get nails.  Nancy volunteers.   Joe says we will use her!!!   May 2nd, 2020.   19 campsites and the picnic shelter.  Joe reminds us that consolidating campsites will be great.   He requests, that all board helps.  Repo will be there to camp and can help.   Lance can help if no conflict.  He will let Joe know.   We need people at headworks and KP.   We still need more helpers.   Nature nuts/girl scouts and other misc ground crews are around.   GRCU.org there are maps where we need to focus.   Ground crew and jeep crew needs.  GRCU.org is updated.   RV’s need reservation.  Targeting Mark Burns!   Karie says the massive RV prob won’t be there this year freeing up 4 campspots.

Wenatchee Rendezvous planning (5/30/2020)   Joe:  Nancy assumes River-ops has porti-potty.   Joe asks if 2 are enough.   Consensus is that 2 is enough at the put in and 2 at the Eagle Creek.   Joe would like to see something on the toilets at the put in.   Steve, will help keep an eye  on the toilets.   For East Leavenworth road drop toilets Mid April – Mid June.  REPO mentions budget for camping and all toilets is $800 annual.   Prizes is $1,000.
